Trade orders, from customer to dispatch.

Dockets brings customers, products, pricing, orders and dispatch into one workspace. Here is what each part does, in depth.

The weekly dispatch board

The heart of Dockets: a Monday to Sunday board of everything going out. Double click an order to open it, mark orders packed and dispatched as the day moves on, and find any order in seconds by typing its reference number. Past weeks stay as your record; future weeks show standing orders already filled in.

  • Monday to Sunday grid of every order
  • Packed and dispatched tracking per order
  • Search by order reference, customer or product
  • Standing orders appear automatically in future weeks

Delivery run for your van

Everything your driver needs for the day on one phone screen. Orders are grouped into stops with each customer's address and delivery notes. One tap opens directions in Google Maps, one tap calls the customer or sends a WhatsApp heads up that you are on the way, and marking a stop delivered updates the dispatch board back at base.

  • Today's stops grouped by customer
  • One tap directions, phone calls and WhatsApp messages
  • Delivery notes and order items on every stop
  • Anyone with dispatch access can use it, no extra driver seat

Self service order links

Give every trade customer their own private order link. Send it by email or straight to their WhatsApp in one tap. They open it on their phone, see your products at their own agreed prices, pick quantities and a delivery date, and send. The order lands straight on your dispatch board, marked as ordered online, and you get an email so you know to pack it.

  • One link per customer, no login or app needed on their side
  • Customers see their own prices, never your list prices
  • Repeat last order button for regulars
  • Send the link and order updates on WhatsApp from your own number
  • Regenerate or switch off a link at any time

Jobsheets and delivery notes

Every order prints as a clean one page jobsheet for the kitchen or workshop, with the customer, products, quantities and your internal notes. When the order goes out, switch to the delivery note: the same sheet without prices or private notes, with a signature line for whoever receives the goods. Delivery notes can be emailed to the customer automatically the moment you mark an order dispatched.

  • One page A4 prints, no browser headers or blank pages
  • Order reference printed on every sheet, searchable in the app
  • Delivery notes hide prices and internal notes
  • Automatic delivery note email on dispatch, sent once per order

Production planner

Plan the week and the month in one place. The planner shows orders per day, a calendar with units and dispatch progress per day, and a products per week table. Click any day to see exactly what still needs making, product by product, alongside that day’s orders.

  • Monthly calendar with orders, units and dispatch progress
  • Click a day for a make list of units per product
  • Products per week table for ingredient planning
  • Orders per day chart to spot your busy days

Stock tracking with low stock alerts

Turn stock tracking on for any product and Dockets keeps the count for you. Stock is deducted the moment an order is dispatched and restored if you undo it. When a product falls to your alert level you get one email and one notification in the app, then silence until you restock.

  • Optional per product, off by default
  • Deducted on dispatch, restored if you undo it
  • One email and one in app notification per low cycle
  • Quick restock buttons and a low stock filter

Invoice export for Xero and QuickBooks

Turn the week's dispatches into a file your accounts software reads straight away. Choose the dates, your VAT rate and your own invoice number prefix, then download a CSV laid out for Xero or QuickBooks Online. Every line comes across with products, quantities, prices and customer details, so nobody types orders in twice.

  • Import layouts for Xero and QuickBooks Online
  • Your own invoice prefix, such as DKT or DCL
  • Batch numbers and best before dates carried on each line
  • Option to include dispatched orders only

Bring your spreadsheets with you

Start with your data instead of starting from scratch. Upload a spreadsheet of customers or products, check the suggested column mapping, preview the first rows and choose how duplicates are handled. Nothing is saved until you confirm.

  • Smart column mapping for common spreadsheet names
  • Preview before anything saves
  • Skip or update duplicates by name, or SKU for products
  • Downloadable templates to get the format right

Batch numbers and best before dates

Add an optional batch number and best before date to any order line. Both print on the jobsheet and the delivery note, so your kitchen knows what to make and your customers get the traceability they ask for. Leave them blank and the lines stay as clean as before.

  • Optional batch number and best before per order line
  • Printed on jobsheets and delivery notes
  • Dates set in your day first DD/MM/YYYY format
  • Blank lines stay exactly as they were

And everything around it

Standing orders

Some customers order the same thing every week. Save it once as a standing order and Dockets fills in future weeks automatically when you view them on the dispatch board. Running the same week twice never creates duplicates, and each generated order is a normal order you can still edit.

  • Pick days, products and quantities once per customer
  • Future weeks fill themselves in as you open them
  • Generated orders use the customer’s agreed prices
  • Edit or pause a standing order whenever things change

Customer and group pricing

Trade pricing is rarely one price list. Set an agreed price per customer for the products you’ve negotiated, or set one price per group such as Wholesale or Distributor. When you create an order, Dockets picks the right price automatically: the customer’s agreed price first, then their group price, then your list price.

  • Agreed prices per customer, per product
  • Group price lists for tiers like Wholesale or Distributor
  • Automatic price resolution on every new order
  • Override any line by hand when you need to

Customer records and history

Every customer has a full page: delivery addresses, contacts, their group, agreed prices, standing orders and their complete order history. See what they ordered, when, how much, and whether it went out, plus totals across the relationship.

  • Full order history per customer, newest first
  • Delivery addresses and contacts in one place
  • Order links, standing orders and agreed prices together
  • Totals across the whole relationship

Metrics and lapsed customers

Know which customers are drifting away before they’re gone. Dockets flags customers who haven’t ordered in a week, three weeks or a month, and shows monthly order value, popular products and purchasing patterns, so you can pick up the phone at the right moment.

  • Lapsed customer flags at one week, three weeks and one month
  • Monthly order value and trend charts
  • Popular products and purchasing patterns
  • Export to CSV or PDF for your records

Team access and permissions

Invite your team with exactly the access they need. Each person gets their own sign in, and you choose who can view, edit or delete orders, customers and products. Staff send order emails from your connected mailbox, and only owners see billing and settings.

  • Per person view, edit and delete permissions
  • Invite by email, access enforced in the database
  • Staff send from the business mailbox, not their own
  • Only owners see billing and workspace settings

Send from your own email

Order confirmations and delivery notes go from an address your customers recognise. Connect Google Workspace or Microsoft 365 with one click, or send from your own domain. Replies come straight back to you, and if nothing is connected, Dockets sends from its own branded address so nothing is ever stuck.

  • One click Google Workspace and Microsoft 365 connection
  • Own domain sending for full control
  • Branded fallback so emails always go out
  • Customers reply directly to your inbox
